Privacy Statement Effective January 1, 2007
SOI collects information electronically (through this Web site and in other ways) and in paper form. If you are an individual (for example, if you are an Assigned Employee) SOI may collect personal information such as your name, address, telephone number, other contact information, marital status, Social Security Number or Taxpayer Identification Number, job/employment history and status, health, retirement, and supplemental benefits, and other information from which your identity may be discerned. We may collect information about your family, for instance, your spouse and dependants in the case of certain benefits. We may also collect information that is not unique to you such as your ZIP code, age, occupation, gender, and salary information.
If you are a current, former, or prospective client of SOI, we may collect information such as your business name, location, information about your employees and your payroll, information about your insurance and other benefit plans, certain legal and financial information, and information relating to legal proceedings, and information about your finances.
We may collect information about your use of our web sites and information systems. This information may include what areas of the web sites you visit and what services or links you access. We may collect information about your computer hardware or software, such as your IP address, referring Web site addresses, and the kinds of hardware and software you are using.
Sometimes we may use "cookies" when you connect to our information systems. Cookies are text files that are placed on your computer by a Web page server. They are used to help customize your online experience, among other things, and they help us to automatically recall your information and track your usage of our systems. Your Web browser may give you the ability to decline cookies. If you choose to do so, it may limit the performance and functionality you can obtain from our web sites.
We may receive information about you or your business from third parties.
We use the information we collect for the purpose of running our business and providing our services. As part of this use, information may be shared between SOI-related entities and may be accessed by our employees, advisors, and agents with legitimate reasons for access.
We may use contact information to contact you including by mail, facsimile, email, and other means. You may have the opportunity to "opt out" of certain kinds of communications, however, even if you do so we may contact you pursuant to other business.
We may collect information that qualifies as personal health information (PHI) under HIPAA. PHI is handled in accordance with our policy on PHI. If you have any questions about this, please contact our Benefits department.
We may make your information available to you in various ways, including by allowing you to view records in compliance with records access laws, providing information to you about your wages and benefits, and making information available to you over our Web sites and information systems.
We may share your personally identifiable information with others with your consent. For example, if you indicate that you are interested in a product or service offered by a third party that works with us, we may provide your information to that third party.
We may share information with third parties that work with us in the course of providing our services. For example, we may outsource certain functions or provide services in conjunction with an independently contracted provider such as a benefits provider, and we will share information with such service providers. We may also share information with third parties who provide support services, advice, or consultation to us.
We may share anonymous information, such as depersonalized, statistical, or aggregated information, with our clients, business affiliates, and other third parties.
If you are an Assigned Employee, much of the information we collect about you will be available to your worksite employer and its agents such as its owners, managers, and administrative staff. We may also share non-personal information, such as statistical information, with your worksite employer.
We may share your information with government agencies, or as otherwise may be necessary or appropriate to comply with law or the lawful discharge of governmental functions. For example, we report wage and withholding-related information to taxing authorities. We may also share information in response to an authorized governmental request for information, or in response to legal process such as subpoenas, garnishments, discovery in litigation, and the like (some legal process may come from governmental entities, others may come from private parties, for instance, in litigation). We may also share your information in connection with succession in interest to all or part of our business, for instance, in the event of a business transfer or sale or in the unlikely event of a legal proceeding where a trustee or similar authority may be appointed.
If you voluntarily disclose information in a non-private forum such as an online forum provided through an SOI Web site, you should assume that everything you provide is available to the general public even if access is restricted or password protected.
We may enter into relationships, such as marketing agreements and strategic alliances, with third parties that may offer products or services to you and others, often on specially negotiated terms that are advantages to our Assigned Employees and clients. We may give them depersonalized information. If, you initiate an inquiry with respect to such products or services, we may furnish the third party certain personal information regarding you for, among other things, the purposes of prepopulating forms or facilitating the exchange of information between you and the third party. If you do not wish for this to happen, do not initiate inquiries about third party products and services.
We may use information that we collect to protect the rights and property of SOI or others, to prevent a crime or protect national security, to respond to emergencies, or to protect the safety of individuals or the public.
Although we take reasonable measures to ensure appropriate treatment of information we share with third parties (which may include agreements to maintain confidentiality and security as appropriate) we cannot be responsible for the actions or omissions of third parties that are not within our control.
SOI strives to implement security measures that are at least industry standard and reasonable to secure information from accidental loss and unauthorized access, use, and alteration. SOI does not share the specifics of its security measures in order to protect their integrity. However, no security is perfect and a reasonable balance must be maintained between security and functionality; SOI cannot guarantee that information will not be accessed, used, or altered by unauthorized third parties.
You may reach SOI's Web site from a site owned or maintained by someone else, and you may reach someone else's Web site, such as a site belonging to one of our business affiliates or service providers, through a link on our site. SOI may not be aware of, and cannot be responsible for, the policies and practices of sites that are not owned or maintained by SOI. You should contact each such site's owner or operator for information about their privacy policies.
SOI's web site is not intended for children and generally should not be accessed by anyone under age 16. Except in the case of minors working as Assigned Employees or corporate employees of SOI, or minors who are plan or insurance dependants or beneficiaries, SOI does not seek to collect information from or about children under age 16.
SOI's services are only provided in the United States and its political subdivisions, and our Web sites and information systems, including any information obtained from them, are similarly only intended for lawful use within the United States and its political subdivisions by persons lawfully within the United States. Any other access or use is prohibited.
